An organization has multiple projects that are taking place simultaneously. Which of the following should be tasked with ensuring resources are appropriately allocated to projects?
CompTIA Project+ Cert Guide: Exam PK0-004 "Some organizations use project coordinators when multiple projects must share resources. This type of project coordinator helps with any issues that may arise over shared resources."
A. PMO (Project Management Office) is typically responsible for ensuring resources are appropriately allocated to projects. The PMO acts as a central point of control and coordination for an organization's projects, ensuring that projects align with the organization's strategic goals and that resources are being used effectively and efficiently across projects. The PMO can also help to resolve resource conflicts between projects, ensuring that resources are being used in the most productive and cost-effective manner.
I agree that the answer is Project Sponsor. There is nothing stating that the resources are shared, so that would eliminate Project Coordinator. If you take away the first sentence it becomes more apparent what the answer is.
I did some research and found that according to Reference: Kim Heldman, CompTIA Project+ Study Guide, 2nd Edition, Sybex, Indianapolis, 2017, p. 82
The project sponsor is usually an executive in the organization who has the authority to
assign money and resources to the project.
I think the keyword here is allocation.
According to the CompTIA study guide(Page 6), PMO is responsible for the following:
.• Managing shared resources across projects managed by the PMO.
Why Sponsor is the correct answer according to (Reference: Kim Heldman, CompTIA Project+ Study Guide, 2nd Edition, Sybex, Indianapolis, 2017, p. 82 )?
Are we not supposed to refer to the CompTIA Project+ Cert Guide: Exam PK0-004 for the exam? Are these old questions based on the old version? I agree with everyone that PMO is the correct answer.
I am so confused. I don't want to fail my exam.
Project Management Office
(PMO)
A PMO is an administrative unit that supervises and coordinates the
management of all projects in an organization. It focuses on
providing:
• Administrative support services, which include processes,
methodologies, policies, standards, and templates.
• Any key performance indicators and parameters that will allow
projects to measure their success.
• Training and mentoring support to project managers and project
team members.
• Support and guidance in managing projects and usage of tools.
• Support for resource allocation.
• Assistance in better communication among project managers,
sponsors, and other stakeholders.
The answer is (A) Project Management Office (PMO) they have 5 main functions:
1. Create and maintain policies and procedures
2. Embrace project management maturity
3.*** Resource Management***
4. KPIs and reporting for the projects and the enterprise at large
5. Role-based training on policies, procedures, and tools
A coordinator would only be necessary in a longer-term project, or if the organization is
designed to accommodate that particular role. There are really no set responsibilities that a
coordinator would take on, because they are there to support the project manager and
project work. Coordinators who support large projects provide administrative support by
answering emails, scheduling meetings, distributing agendas, and so on. They may also be
helping the project manager with updates to schedules and budgets and change requests.
A is correct ans.
Refenrence in official CompTIA Project+ Study Guide
"Some of the primary functions of the PMO include:
• Maintaining project historical information.
• Managing shared resources across projects managed by the PMO.
• Monitoring project timelines, budget, and quality at an enterprise level.
• Identifying and implementing new project management methodologies.
• Creating effective project policies, documentation, and templates.
• Helping project managers develop estimates and schedules.
• Conducting routine quality assurance reviews.
• Managing communication across projects under the PMO."
project coordinator may coordinate cross-functional team members and resources, set up meetings, help the project manager with resource scheduling, monitor the schedule, and check for quality products and processes.
