At a weekly project team meeting, it is apparent the project is over budget. The project manager needs to determine the reason for this issue. Which of the following documents should MOST likely be analyzed to obtain the answer?
A.
Project charter, organization chart, scope statement, and issue log
B.
Dashboard information, action items, project schedule, and status report
C.
Project management plan, scope statement, communication plan, and meeting agendas
D.
Project schedule, project management plan, communication plan, and issue log
I don't think that the given answer of A is correct. Why would the PM need to review all of the project support documents when the PM created them? It's behind schedule so the PM would need to review all of the information as defined in answer B. I think B is the correct answer.
Organization chart shows the breakdown of who is on each team, so combined with the other items such as issue log, perhaps one team or team member is not capable of completing the job. Depending on the length of a project it's easy to not see the forest for the trees, and perhaps the charter original goals have been forgotten by the PM or team members. I went with A because the other choices didn't make sense, communication plan? How is that relevant, so C and D, instantly no consideration. B is really close but the Dashboard is a high-level rough overview of the plan for executives to track progress. The PM already knows the project is over budget, I'm not sure what benefit the dashboard is providing that the PM isn't already aware of, the dashboard is updated frequently but the charter might be quite dated by the time you start looking at why you're over budget.
D is the answer I would choose. it has the project management plan, "Used as the guideline throughout the project Executing and Controlling phases to track
and measure project performance and to make future project decisions. It’s also used as a
communication and information tool for stakeholders, team members, and management"- Sybex study guide pk0-004 2nd ed, Also it has the issue log & the schedule. Comm plan you can see who communicated to whom.
The keyword here is "apparent" meaning the PM is already aware of what's happening and needs to find the causes of the issue. Dashboard and status report are not as helpful as the project scopes and issues log which may contain possible clues to the issue.
The answer is correct.
B is incorrect because action items are not required to be listed as they are not always critical. On a side note the dashboard is ABSOLUTELY a document. It doesn't have to be a paper or word document.
C. Com plan and meeting agenda have no relevance.
D. Com plan again has no relevance.
A. Organizational chart, like mentioned before would show what and how many resources you have assigned to a particular area or task which is a major budget concern.
I chose D as an answer because of the appealing 'project management plan' even though the communication plan might seem nonsensical. Without the plan, how could you even know what went wrong?
Agree, the keyword is analyzed. Dashboard Information and status report are a great place to dive into understanding how problems develop.
